1. Purpose

ClevStudy uses artificial intelligence (AI) as a core part of its educational platform. This policy explains how we use AI, what data it processes, how we keep it safe — particularly for children — and what limitations apply.

We are committed to transparency, safety, and responsible use of AI in education. This policy is part of our commitment to the ICO Children's Code (Age Appropriate Design Code) and UK GDPR.

2. How We Use AI

AI is used throughout the ClevStudy platform to deliver personalised learning experiences. Specifically, our AI systems:

  • Generate teaching content — the AI creates lesson scripts, explanations, and worked examples tailored to each student's current level of understanding.
  • Create and grade assessments — questions are generated dynamically and student responses are evaluated automatically with detailed feedback.
  • Adapt difficulty levels — based on student performance, the AI adjusts the complexity of content to ensure appropriate challenge without frustration.
  • Detect misconceptions — the AI identifies common errors and misunderstandings, then provides targeted remediation.
  • Track mastery progression — learning outcomes are monitored at lesson, unit, and subject levels to build a comprehensive picture of each student's knowledge.
  • Validate response quality — a secondary AI system reviews and validates the primary AI's outputs for accuracy and appropriateness.

3. AI Providers

We use the following AI service providers to power our tutoring features:

All AI providers process data as sub-processors under our instructions and are contractually bound to maintain appropriate security and privacy standards.

4. Information Processed by AI

When a student uses the AI tutor, the following information may be processed:

  • The student's current lesson topic, subject, and key stage.
  • Questions asked by the student and their responses to assessments.
  • The student's current mastery level for the topic being studied.
  • Previous misconceptions identified during the learning session.

We do not send the student's name, email address, or other personally identifying information to AI providers. Learning sessions are identified by internal session IDs only.

5. What AI Does Not Do

To be clear about the boundaries of our AI use, our AI systems do not:

  • Make decisions about a child's educational placement or future.
  • Profile students for commercial, advertising, or marketing purposes.
  • Share student data with third parties for purposes beyond delivering the educational service.
  • Use student data to train general-purpose AI models. Our providers process data solely to deliver responses to our platform.
  • Replace professional teaching or formal assessment. ClevStudy is a supplementary learning tool.
  • Communicate directly with students outside of structured learning sessions.

6. AI Limitations

While our AI systems are designed to be helpful and accurate, it is important to understand their limitations:

  • AI can make mistakes. Generated content may occasionally contain errors. We use multiple validation layers to minimise this, but no AI system is perfect.
  • AI does not understand context fully. The AI processes text and patterns but does not truly "understand" subjects the way a human teacher does.
  • AI responses are not professional advice. Content generated by the AI tutor should be used for learning support only and does not constitute professional educational, medical, or psychological advice.
  • AI outputs may vary. The same question may produce slightly different responses at different times. This is normal behaviour for generative AI systems.

7. Children's Safety

Protecting children when they interact with AI is a top priority. We implement the following safeguards:

  • Content filtering: AI prompts are carefully engineered to produce only age-appropriate, educational content. System instructions explicitly prohibit generating harmful, violent, sexual, or otherwise inappropriate material.
  • Structured interactions: Students interact with AI through a structured 15-step lesson framework, not through open-ended chat. This limits the scope for misuse.
  • Input validation: Student inputs are validated before being processed by AI systems.
  • No personal data in prompts: We do not include children's names or personal details in AI requests.
  • Monitoring: We monitor AI interactions for quality and safety, and maintain logs for audit purposes.

8. Homework Support

ClevStudy's AI tutor is designed to support learning, not to complete homework or coursework on behalf of students. The system:

  • Teaches concepts through structured lessons with guided practice.
  • Provides explanations and worked examples rather than direct answers to homework questions.
  • Encourages students to work through problems step by step.
  • Assesses understanding through formative quizzes rather than providing answers to copy.

Parents and educators should be aware that while the AI supports learning, students remain responsible for their own academic work and should use ClevStudy as a learning aid, not a shortcut.

9. Data Protection

All AI-related data processing complies with UK GDPR and the Data Protection Act 2018. Key protections include:

  • Data minimisation: Only the minimum information needed for the AI to deliver an effective lesson is shared with AI providers.
  • Encryption: All data sent to and from AI providers is encrypted in transit using TLS.
  • No data retention by providers: Our agreements with AI providers specify that student data is not retained beyond the immediate processing of each request.
  • Contractual safeguards: All AI providers are bound by data processing agreements that require compliance with UK data protection standards.
  • International transfers: Where data is processed outside the UK, appropriate safeguards (such as Standard Contractual Clauses) are in place.

10. Human Oversight

AI at ClevStudy operates under human oversight at multiple levels:

  • Curriculum design: Human educators design the curriculum framework, learning objectives, and assessment criteria that guide AI content generation.
  • Quality review: AI-generated content is subject to automated quality checks and periodic human review.
  • Safety monitoring: Our team monitors AI interactions for safety issues and can intervene when necessary.
  • Continuous improvement: Feedback from students, parents, and educators is used to improve AI performance and safety measures.

11. Reporting Concerns

If you encounter any AI-generated content that you believe is inaccurate, inappropriate, or concerning, please report it immediately:
